Racking Installation Day: What Has to Be Ready Before the Crew Arrives
A racking installation is one of the few trades that either happens completely on the booked day or does not happen at all. There is no partial start. If the crew cannot set out and anchor, they stand around, and a mobilisation you have paid for produces nothing.
Almost every lost day we have seen came down to something ordinary that nobody thought to check. Here is the list, in the order it tends to bite.
1. The floor has to be genuinely clear — and swept, and dry
"Mostly cleared" is the most expensive phrase in this business. A pallet left in the middle of a run stops the whole run, because setting out is continuous: the frames are positioned from a datum along the length, and you cannot skip a bay and come back.
Sweeping matters more than people expect. Anchors are set into holes drilled in the slab, and dust left in the hole sits between the anchor and the concrete. A floor that has been swept and is dry is not housekeeping — it is part of the fixing.
If the area is still in use up to the day before, say so when you book. A crew that knows it is walking into a live warehouse plans for it. A crew that expects an empty bay and finds stock does not.
2. Somebody has looked at the floor itself
Two separate questions, and both need answering before a date is fixed.
Is it level and flat enough? Frames are plumbed vertical, so a floor that falls away across the run has to be shimmed, and beyond a point shimming stops being the answer. The taller the installation, the less tolerance there is, because a small error at the baseplate is a large one at the top beam.
What is in it? Movement joints, service trenches, drainage channels, old machine pits and patched areas all matter, because a baseplate cannot straddle a joint or sit over a void and be anchored properly. These are usually visible in ten minutes of walking the floor with the layout in hand — and invisible on a drawing.
3. The components have to physically get in
This is the one that catches people out on upper floors and ramp-up units, and it is worth thinking about before the layout is even finalised.
Uprights come in lengths. A tall installation means long frames, and a long frame has to come off a lorry, through a door or shutter, along a corridor, and — if you are not on the ground floor — into a goods lift. A lift with plenty of floor area can still be useless if the door height will not take the frame, and there is no way to shorten it on site.
What to check: the shutter or door opening height, the turning space immediately inside it, and for upper floors the goods lift internal dimensions including the door opening, plus its capacity. Send those numbers with your enquiry. If the frame length does not fit, that is a design decision — the installation may need to be split into shorter frames with a splice, and that is far better decided at drawing stage than discovered at the loading bay.
4. There has to be somewhere to put things down
Components arrive on a lorry and come off in bulk. If there is no set-down area near the work, everything gets double-handled: unloaded somewhere, moved again, then moved a third time as the run progresses. That is hours, and it is hours you are paying for.
Keep a clear strip beside the run, and agree where the delivery lands before the lorry arrives rather than while it is waiting.
5. Power and light
Drilling anchors needs power. Working accurately needs to be able to see. An empty unit that has not been handed over often has neither, and a warehouse with high bays and no lighting is genuinely dark in the middle of the day.
Confirm there is live power and working lighting in the area, or tell the installer there is not, so they bring their own. Finding out at eight in the morning is the expensive version.
6. Someone with authority has to sign off the setting-out
Before the first anchor goes in, the aisle positions and the run start point get marked on the floor. That is the last cheap moment to move anything. Once frames are anchored, moving a run means drilling out anchors, patching the slab and re-drilling.
Have somebody on site that morning who can actually decide — not somebody who has to call someone else. Walk the marked-out floor with the layout and check the obvious operational things while it is still paint on concrete: that the aisle is wide enough for the truck you actually own, that you can get from the dock to the aisle, that nothing blocks an exit route, and that the racking is not sitting in front of a panel, a hydrant or a roller shutter.
7. The paperwork the building wants
Most industrial landlords and building managements want some or all of the following before a contractor may work: a permit to work, contractor insurance details, workers' particulars for security passes, agreed working hours, and a booking for the goods lift or loading bay. Individually trivial, collectively enough to stop a crew at the gate.
Ask the building management for their list a fortnight ahead, not two days ahead. And confirm the permitted working hours honestly — a unit where nothing noisy may happen before nine and nothing at all after six is a different job from one with full-day access.
8. Approvals for the works themselves
Separately from the building's own rules, the installation may need approvals or submissions depending on what is being built and where. That is not something to resolve in the week before installation. If your project needs it, it belongs at the start of the programme.
9. Fire protection has been considered
Racking position interacts with the building's fire protection, and clearances have to be respected. This is not a detail to reconcile after the frames are standing. It is a design input, and getting it wrong is one of the more expensive things to correct because the fix is usually to move racking that is already anchored.
10. The beam levels are decided from real pallets
Beam levels are set on the day. If they were drawn months ago from an assumption, and your stock has changed since, this is the moment it becomes permanent — beams can be moved later, but on many systems that means unloading the bay to do it.
Before the day, go and measure the tallest thing you actually store, on its pallet, including any overhang and any shrink-wrap dome on top. Bring that number. It is worth more than the drawing.
The short version — the morning checklist
- Floor completely clear, swept, dry
- Floor level checked; joints, trenches and pits identified against the layout
- Access route confirmed for the actual frame length, including lift door height on upper floors
- Set-down area agreed for the delivery
- Power and lighting live, or the installer told they are not
- A decision-maker on site to approve the setting-out
- Permit to work, insurance, passes and lift booking done
- Working hours confirmed in writing
- Fire protection clearances designed in, not discovered
- Real measured pallet heights available for the beam levels
And before the crew leaves
Walk the finished run with them. Check that every frame is anchored and that no baseplate is sitting on a shim stack that looks improvised. Ask for the handover documents rather than waiting to be given them, and get the load notices up while everyone still remembers what the design load was.
