Racking gets handed over the way most site work gets handed over: the crew finishes, someone walks the aisles, everyone agrees it looks right, and the installer leaves. Nothing is signed and nothing is filed. Two years later a safety officer, an insurer or a new warehouse manager asks a simple question — what is this rack rated to carry? — and there is no answer in the building.

That is the whole problem. Racking is one of the few things in a warehouse whose safe capacity is invisible once it is built. You can look at a steel frame all day and not know whether the beams in it are rated for one tonne or three, because the answer depends on the beam section, the frame, the bracing, and above all on the beam level heights that were set at installation. Change the beam heights and the capacity changes, and nothing about the rack's appearance tells you that happened.

So the documents are not paperwork for its own sake. They are the only place the rack's capacity actually lives. Here is what to ask for, and what each one is really for.

1. The layout drawing, as installed

Not the drawing from the quotation — the drawing of what was actually built. The two differ more often than anyone expects, because site conditions move things: a column in the way, a door swing, a sprinkler head, a floor joint. Bays get dropped, runs get shortened, aisles get shifted.

The as-installed layout is what every later decision references. It tells a fire safety consultant where the aisles are, tells a new operations manager how many pallet positions exist, and tells us where things are if you call us back to extend or modify. Without it, any future change starts with someone re-measuring the warehouse.

2. Load notices, fitted to the racking

This is the one that matters most day to day, and the one most often missing. A load notice is the sign fixed to the run that states what that configuration is rated to carry — per beam level and per bay.

It has to be fitted to the racking rather than filed in an office, because the people who need it are the people loading the rack. A forklift driver deciding whether a heavy pallet goes on this level or a lower one is making a structural decision, and the notice is the only thing in the aisle that informs it.

The critical detail: the notice is only true for the beam heights it was issued against. If someone later moves a beam level up or down to fit a taller pallet — which happens constantly, and is usually done with the best intentions — the capacity has changed and the notice is now wrong. That is why moving beam levels is a decision to check rather than a quick fix, and why the notice should be reissued if the configuration changes.

3. Beam and frame capacities, for the configuration you have

Behind the notice sits the specification: which beam section is fitted, which frame, what bracing, and the resulting capacity at the installed beam spacing. You want this in writing because it is what allows anyone to work out whether a proposed change is safe before it is made.

It is also what an insurer or an auditor will ask for. "The installer said it was fine" is not a specification. A stated beam section and a stated capacity at a stated configuration is.

4. Whatever was submitted, if a submission was required

Some racking projects trigger a submission and some do not. A mezzanine, a very high run, sprinkler arrangements affected by the racking, or works requiring permits will each bring their own approval trail. Where any of that applied to your project, the endorsed drawings and the approval correspondence belong in your handover pack — not left with the contractor.

The reason is practical. If you later modify the installation, the next consultant needs to know what was approved before, or they have to start from nothing. And if the building is sold or the lease transfers, the approvals go with the building. 5. The component specification and where to get more

Racking components are not interchangeable between manufacturers, and often not between series from the same manufacturer. A beam that looks identical may have a different connector profile and simply will not lock into your frames.

Record which series and which components you have. The day you need six more beams to reconfigure a run, that record is the difference between ordering the right parts and buying a pallet of steel that does not fit. It also matters when a component is damaged: replacing a bent upright with the correct part is straightforward; sourcing it without knowing what it is, is not.

6. The inspection handover

The last item is not a document so much as a conversation that should have a document attached. Racking needs looking at on an ongoing basis, and the handover is when responsibility for that transfers.

Two things should be settled before the installer drives away. First, who inspects it and how often — a named person and an interval, not a vague intention. Second, what your own staff should be watching for between inspections, so that impact damage gets reported rather than absorbed into the background. A dented upright that is reported the day it happens is a small job. The same dent found a year later, after it has been loaded continuously, is a different conversation.

If you have taken over racking with no documents at all

This is common, especially in a leased warehouse where the racking came with the unit or where a previous tenant left it. You are not stuck, but you should not assume either.

The honest position is that unlabelled second-hand racking has an unknown capacity until someone establishes it. What can be done is an assessment: identify the components, measure the installed configuration, check the condition of the frames and bracing, and work back to a defensible capacity — then fit load notices that reflect it. That is a real piece of work rather than a formality, and it is worth doing before the racking is loaded to a level someone guessed at. The short version

Ask for six things at handover: the as-installed layout, load notices fitted to the runs, the beam and frame capacities for your configuration, any approval trail that applied, the component specification, and a named inspection arrangement. All six are easy to obtain on the day and difficult to reconstruct later, and the load notice is the one that protects people rather than paperwork.
