Racking Warranty: What It Covers, What It Never Will, and What to Get in Writing

Warranty is usually one line on a racking quotation, and it usually gets read in one of two moments. The first is when three quotes are laid side by side and someone compares the number of years. The second is after something has gone wrong, when someone digs the quotation out of a drawer to see whether the repair is free.
Both moments tend to go badly. The number of years tells you very little on its own, and by the time anyone checks the warranty after an incident, the answer is almost always no — because what went wrong was not a defect. This article is about reading that line properly before you sign, and about the few habits that keep a genuine claim possible later.
Defect or damage: the question everything turns on
A racking warranty is a promise about the product and the installation as they were handed over. It is not insurance against what happens to them afterwards. So every problem sorts into one of two piles.
- A defect is something wrong with what was supplied or how it was put in: a component that was faulty when it arrived, or an installation fault that was there on the day the crew left.
- Damage is something that happened to a sound rack after handover: a forklift strike, a pallet dropped onto a beam, a load heavier than the notice allows, a beam level moved by someone on site.
Forklift impact is the big one, and it is worth saying plainly because people are genuinely surprised by it. Impact is accidental damage, not a defect, so no manufacturer warranty covers it — ours included. That is not a technicality. In a working warehouse, impact is where most racking problems come from, concentrated in the bottom metre of uprights, at aisle ends and at the entry bay of each run. Whichever quote you choose, the warranty will not be the thing that pays for those.
There are usually two warranties in one line
A racking job is a product and a piece of site work, and the two fail in different ways, so a well-written warranty treats them separately. Ours reads like this, and it is published on our services page:
- A standard 5-year structural warranty on the racking and mezzanine frame, against manufacturing defect.
- A 1-year warranty on installation workmanship — things like floor-fix integrity and beam levelling.
- Forklift impact damage is not covered by either.
The distinction matters when comparing quotes. If one quote says "5-year warranty" and nothing else, you do not know whether that covers the steel, the installation, or both, and the installation is the part where a local crew's work actually shows. Ask which of the two the number refers to. If only one period is stated, ask what the other one is.
The workmanship period is also the one that runs out quietly. Twelve months is short, and nobody diarises it. A sensible habit: before the first anniversary of handover, walk the racking specifically looking for installation issues rather than impact — beams that were never level, base plates that are not sitting properly on the slab, anchors at the foot of frames that nobody has hit but that do not look right. Anything found inside the period is a conversation about workmanship. The same thing found in month fourteen is a harder conversation.
The grey areas to settle in writing before you sign
Most disagreements about racking warranties are not about the obvious cases. They are about changes the owner made in good faith, which neither side thought about at quotation stage. Ask any installer these questions, and get the answers in writing rather than on the phone.
- What exactly is covered? Upright frames and beams are the obvious parts. Ask separately about connectors, safety pins and locking clips, bracing, base plates and anchors, decking, and the finish.
- Who is giving the warranty? The installer, or a manufacturer overseas? If a component turns out to be defective, whose number do you ring, and who comes out to look? A warranty is only as useful as the party you can actually get on site.
- What if we move beam levels ourselves? The load notice is only true for the beam heights it was issued against. Ask what the installer needs from you before a level is moved, and whether a reissued notice keeps things in order.
- What if we add components from another supplier? Racking parts are generally not interchangeable between manufacturers, and a mixed run is harder for anyone to stand behind. Ask before you buy extra beams elsewhere.
- What happens if the racking is relocated? Leases end. If the racking is dismantled and reinstalled at a new warehouse — by the original installer or by someone else — ask what, if anything, carries over.
- What would you need to see to accept a claim? The answer tells you which records to keep from day one.
None of these questions is hostile, and a competent installer will answer them without hesitation. An installer who cannot say what their warranty covers has told you something useful too.
The things that make a genuine defect hard to prove
Even when a real defect exists, a claim can become impossible to settle because nobody can separate the defect from everything else that happened to the rack. These are the usual culprits, and all of them are within the owner's control.
- Unreported impacts. If strikes are not logged, a bowed upright discovered in year three could be a defect or could be the result of a dozen knocks nobody mentioned. Without a record, it will be treated as the second.
- Welded repairs. Welding a plate over a kink in a cold-formed upright changes the steel locally and voids the load rating it was tested to. It also destroys the evidence of what the original problem was.
- Beam levels moved without the load notice being reissued. From that point the rack on site is no longer the rack that was designed and handed over.
- Loads above the notice. A beam that has been overloaded has been used outside its rating, whatever it looks like afterwards.
- Mixed components. A beam from another maker in an otherwise original run turns one supplier's system into nobody's.
If racking has been damaged, the right response is the same whether or not you hope to claim: unload the affected bays, take a dated photograph, and have it looked at. The repair, replace or de-rate decision is set out in a bent racking upright.
Where the real protection comes from
Since impact is excluded everywhere, the thing that actually protects the investment is inspection, not the warranty. The usual cycle is annually, plus after any impact. We inspect under SS EN 15635 principles, with findings graded green, amber and red, and our typical cost is S$3.50 to S$6.00 per upright frame, with a S$1,200 minimum per site visit — details are on the rack inspection page.
Inspection also does the warranty a favour. A dated report from shortly after installation, followed by regular reports, is exactly the record that separates a defect from damage if a question ever does come up. And where damage is found on racking we fabricated, replacement beams and uprights can be matched to the existing system rather than a whole run being condemned for want of a part.
The file that keeps a claim possible
Keep one folder, started on handover day:
- The quotation and the warranty wording, as signed.
- The as-installed layout drawing and the beam and frame capacities for your configuration.
- Photographs of the load notices, with their locations.
- Mill certificates for the steel, if you want them — ours are available on request.
- Every inspection report, and what was done about each finding.
- A damage log: date, location, what happened, what was done, by whom.
- A note of every change: beam levels moved, bays added or removed, components replaced.

Comparing warranties across quotes
A longer number on a vaguer scope is not a better warranty. When the quotes are side by side, line up four things rather than one: what the structural period covers, what the workmanship period is, who stands behind each, and what the stated exclusions are. Then ask the grey-area questions above of each supplier. The answers usually say more about how each company will behave in year three than the number of years does.

The short version
- A warranty covers defects in what was supplied and how it was installed. It does not cover what happens afterwards, and forklift impact is never covered.
- Look for two periods — structure and workmanship. Ours are 5 years structural against manufacturing defect and 1 year on installation workmanship.
- Walk the racking for installation issues before the workmanship year ends.
- Settle the grey areas in writing: moving beam levels, mixing suppliers, relocation, and what a claim needs.
- Log impacts, never weld a repair, reissue load notices after changes, and keep inspection reports. Those are what make a real defect provable.
