Rack Load Notices: The Sign Your Warehouse Is Probably Missing

Walk into most warehouses in Singapore and ask the storeman what one bay of racking is rated to carry, and you will get a shrug or a guess. Ask to see it written down and displayed, and you will usually find it is not.

The sign that should answer that question is a load notice, and it is the cheapest piece of safety equipment in the building. It is also the first thing a competent inspector looks for, because its absence tells him something about everything else.

What a load notice is

A load notice is a permanently fixed sign on the racking run itself, stating what that configuration is designed to carry. In practice it carries the things nobody can work out by looking:

  • The maximum load per beam level — the pair of beams, not one beam
  • The maximum load per bay — the whole vertical stack of levels between two frames
  • The beam level configuration the ratings assume, including the first beam height
  • Who designed and installed the racking, and when

That fourth line matters more than it looks. A load notice is not only a limit; it is a record that somebody engineered the run rather than assembling it from whatever was on the floor.

Why the per-level figure is the one that gets ignored

People remember the bay total and forget the level limit, and the level limit is what actually fails.

A bay rated for a total load spread across four levels is not a bay that can carry the same total on two levels. Beams are designed to a span and a deflection limit, and putting a double load on one pair of beams overloads them long before the frame is anywhere near its capacity. The frame is usually fine. The beams bend.

The other half of it is the frame side: capacity depends on the beam level configuration it was designed with, because the levels brace the uprights. Change the level heights — move a beam up to fit a taller pallet — and the frame's capacity changes with it. That is not a small adjustment made with a rubber mallet on a Tuesday, but it is very often exactly that. The consequences of doing it are covered in beam deflection and catalogue ratings.

Where the ratings come from

The figures on a load notice come from the design of that run: the upright section and gauge, the beam section and length, the number of levels and their heights, the bracing pattern, and how the frames are anchored to the slab. Change any of those and the numbers are no longer yours.

This is why a load notice cannot be copied from another warehouse, guessed from a catalogue, or carried over from a previous fit-out. Two runs of racking that look identical from ten metres away can have different upright gauges and different ratings, and the difference is not visible from the aisle.

It is also why the notice belongs to the configuration rather than to the building. Reconfigure the racking and the notice has to be reissued, not simply left up. The anchoring side of the same question is in anchoring pallet racking to the floor.

The four situations where they are almost always missing

Racking inherited with the unit

You took over a lease and the previous tenant left the racking standing. There are no drawings, no load calculations, no installer and no notices. Legally the racking is now yours to operate, and you have no idea what it holds. This is the single commonest version of the problem in Singapore, and it deserves a proper assessment rather than an assumption — the same logic that applies when buying used pallet racking.

Racking bought used

Second-hand racking arrives without the paperwork that made it safe. Even where the components are sound, the original design applied to a different configuration in a different building on a different slab. Reused components are not the problem; reused numbers are.

Racking that has been added to

The run was designed and notified correctly, then two more bays were added at the end the following year by someone else, with beams from a different supplier. The notice at the front of the aisle now describes part of the run.

Racking that has been reconfigured

Beam levels moved to suit a new pallet height. Nothing was replaced, so nothing seemed to change. The notice on the frame is now describing a configuration that no longer exists, which is worse than having no notice at all, because people believe it.

What the notice does that a document in a drawer cannot

The load calculations may well exist in a file in the office. That is not the same thing, and the difference is about who needs the number.

The people who decide what goes on a beam are forklift drivers, storemen and agency staff on their second week. They are not going to the office to check a drawing before they place a pallet. If the limit is not on the frame in front of them, it does not exist as far as the day-to-day operation is concerned.

This is also why the notice needs to be legible from the aisle and positioned at each run rather than one sign at the door. And it is why a load notice pairs naturally with driver briefing after an inspection — the sign says what the limit is, the briefing explains why it matters, as in briefing forklift drivers after a rack inspection.

What to do if you have none

The honest sequence is short, and none of it is dramatic:

  • Find the paperwork first. Original drawings, load calculations, the installer's name, the handover pack. If it exists, this is a printing job rather than an engineering one — the pack that should have come with the racking is described in racking handover documents.
  • If it does not exist, get the racking assessed as installed. Component identification, configuration measurement, condition, anchoring and the state of the slab. That produces defensible numbers rather than a plausible-looking sign.
  • Deal with the damage at the same time. A bent upright changes the capacity of that frame regardless of what any notice says — see a bent upright: repair, replace or derate.
  • Fix the notices to the runs, legibly, at eye level from the aisle.
  • Write reconfiguration into your own procedure. If beam levels move, the notice is reissued. Not eventually.

Why we bring this up unprompted

Because it is the cheapest thing on this list and the one most often skipped, and because a warehouse with correct, current load notices on every run tends to be a warehouse where the rest has been done properly too. It is a reliable signal, which is exactly why inspectors and insurers look for it.

What must a rack load notice show?

Is it not enough to keep the load calculations in the office?
Not for the people who decide what goes on a beam. Forklift drivers, storemen and agency staff on their second week are not walking to the office to check a drawing before placing a pallet. If the limit is not on the frame in front of them it does not exist as far as the operation is concerned, which is why notices need to be legible from the aisle and fixed at each run rather than one sign at the door.
